Notes from November phone banking:

  • Use SmartSheet to design a survey tool that walks volunteers through responses via applied question logic.
  • ONE WEEK before the phone bank, make sure volunteers can get into the SmartSheet form.
  • Use the ECC for the phones (otherwise, they have to use their personal phones which can cost money and negates privacy);
  • ...but, encourage volunteers to bring their own laptops. Otherwise, each ECC computer has to be set up for each volunteer and that can be time consuming.

A few more details about tomorrow (we’ll go over all this, as well, before we get started):

  1. I have assigned each of you 45 names (we might not get through them all, and that’s fine). You should have access to this sheet: https://app.smartsheet.com/sheets/2232VmHgRCg4MPXmFp3cV6WmHjXPW8xGJM99wP41. If you are having trouble accessing that sheet, please let me know.
  2. In that sheet are your assignments. You can set a filter so that you view only your own assignments. To do that, click on the down arrow just to the right of the button that reads “Filter Off”. That should get you a list of names. Select your name and that will show only the names I have assigned to you. Where possible, I gave you people to call who live in your area. Couldn’t always do that; at any rate, I placed you where we need you.
  3. When discussing membership options with volunteers, you can refer to this page: https://volunteerpdx.net/index.php/NET_Membership_Options?venotify=created. As any questions or issues may come up during the phone bank, we might update the information on that page.
  4. If you can, please bring your own laptop. No problem if you can’t. I suggest this because working from your own computer will diminish the chances of login problems when we begin. We have a WiFi you can access and a plug-in for power. If you can’t bring your own laptop, we’ll just put you on an ECC computer.
  5. The basic process will work this way:
    • You’ll have two screens open: the call script form (https://app.smartsheet.com/b/form/a928263ac2c5429c85937101cb10ac3f), and your assignments.
    • You call someone on your list and use the script to get to the last part of the form (the “Submit” button). When you hit “Submit”, the data we need gets routed to Glenn and the form automatically reloads.
    • Before you call the next person, click the checkbox on your assignment list labeled “Called”. That will grey out the person you just called.
    • Proceed with the next call, repeat.
  6. Jeremy will be making calls. Glenn will be floating around troubleshooting as needed, and processing the data you send to him through the completed forms.
  7. The script is there as a guide; don’t feel like you need to follow it religiously. Put your own riff on things, as long as you get the information we’re looking for.
  8. We’ll probably stop after the first 45 minutes just to check in with everyone and see if there are any common problems/questions cropping up.
  9. Take breaks whenever you want. Contact as many people on your list as you can, but don’t worry about getting to all 45. I’ll probably have lunch come in around noon.


On Saturday, we're still planning to run our phone bank to call NET volunteers who haven't logged in since April 2022 and confirm their status. Thank you for volunteering. If you can't make it, please let me know.

Location will be 9911 SE Bush Street, Gate #8. If you arrive late and can't get in the building, text me (please do not call) at 503-969-4701. We'll begin at 0900; someone will be letting people into the doors at 0845. I'm planning on making coffee and having light refreshments there. I also have a small budget to order lunch, so it'll probably be pizza. If you aint into pizza, we have a fridge you can store your own food in.

I'm still developing informational resources for all of you and will probably send a couple other things tomorrow. But the most important part is the survey/phone script. You can look at that now to prepare, if you like. You can also complete/send a mock surveys (I'll clear out the queue on Saturday morning). You'll see that the survey and script are integrated; in other words, the script changes as you add information.
